What is this, in plain English?

A monthly service that turns your meeting recordings into a transcript and a structured summary with decisions and action points, filed where your team already looks, and editable by whoever was in the room.

A running service rather than a build, because the value is in it happening every week without anyone maintaining it. Unlike the document products, the input here is audio, which brings its own failure modes around accents, crosstalk and poor microphones. Every summary is marked as a draft record until a participant confirms it.

The problem it solves

Meetings finish with a shared understanding that nobody writes down, so the actions are remembered differently a fortnight later and the same decision gets made twice.

If that does not describe you, this is probably the wrong product. Tell us and we will point you at a better fit rather than sell you the nearest one.

What you get

The concrete things that exist at the end and that you own.

What does it do?

Everything listed here is delivered as part of this product. Nothing on this list is aspirational.

  • Processing of up to 20 recordings per month, up to 90 minutes each
  • Full transcript with speaker separation where the recording allows it
  • Structured summary split into decisions, actions with owners, and open questions
  • Draft status until a named participant confirms the record
  • Filed automatically into your existing drive or workspace folder
  • Searchable archive of past summaries
  • Monthly report of processed meetings and any that failed to transcribe

How it works

The delivery sequence from order to handover.

  1. 1

    Set up intake

We agree how recordings reach the system, from your meeting platform or a watched folder.

  2. 2

    Define the summary shape

You choose the sections and level of detail, and we test the format on two of your own recordings.

  3. 3

    Agree the confirmation step

We set who confirms each meeting type and how a correction is made, so the archive stays trustworthy.

  4. 4

    Run it monthly

Recordings are processed and filed, failures are reported, and we retune the summary format on request.

Delivery & fulfilment

Full detail of how work is handed over, what happens if requirements are outstanding and how order records are kept is in the Delivery & Fulfilment Policy.

What we need from you

Nothing starts until these are in place, and the turnaround above is measured from that point — not from the moment you pay.

  • Recordings in a common audio or video format, reaching an agreed location
  • Consent from participants to record and process the audio, obtained by you
  • A named confirmer for each recurring meeting type
  • A destination folder in your drive or workspace
  • An AI provider account in your business name

Who this is for

  • Management teams with recurring meetings and no minute-taker
  • Project teams tracking decisions across several workstreams
  • Client-facing teams who need a record of what was agreed
  • Small businesses where the person chairing is also the person taking notes

What's not included

Just as plainly as the list above: the things this package is not.

  • AI transcription and summarisation usage, billed per minute of audio by the provider to your own account
  • Any guarantee of transcript or summary accuracy: audio quality, accents, crosstalk and jargon all cause errors, and every record stays a draft until a participant confirms it
  • Formal or legal minutes, board minutes of record, and anything intended to stand as evidence
  • Recording the meetings, and obtaining participant consent to be recorded, which remains your responsibility
  • Meeting platform and storage subscription fees
  • Continued availability of the transcription provider or of a given model

Anything outside the scope above is quoted separately, in writing, before it is carried out. Nothing is added to your bill without your agreement.

FAQs

How good are the transcripts?

Good on a clear recording with one person speaking at a time, noticeably worse with a room microphone, strong crosstalk or heavy technical vocabulary. Names, figures and product terms are the most common errors, which is exactly why the summary carries a draft marker until someone who was there confirms it. We will process two of your own recordings before you commit so you can judge it on your meetings rather than on ours.

Can these be used as formal minutes?

We do not recommend it. A confirmed summary is a useful working record of decisions and actions, but formal minutes, board records or anything that may be relied on in a dispute should be produced and approved by a person in the way your governance requires. The system supports that person rather than standing in for them.

Who can hear our recordings?

Audio is sent to your chosen transcription and AI provider for processing and is then stored in your own drive alongside the summary. We configure against the provider terms you hold, with no-training options enabled where offered, and we can exclude nominated meeting types entirely. You remain the data controller for the recordings and for the consent behind them.

What if we go over 20 meetings in a month, or want to stop?

Extra recordings are billed per meeting at an agreed rate and we tell you before processing rather than after. The plan is rolling monthly with no minimum term, cancellable in writing before the next renewal, and on cancellation you keep every transcript and summary because they are already filed in your own drive. Our Refund and Cancellation Policy covers how a part-used month is treated.

Refund & cancellation

How this plan is cancelled, and what happens to money already paid.

Cooling-off before work starts
You have 7 days after ordering to cancel while work has not yet begun. Up to 25% may be retained to cover scoping and scheduling already carried out.
Cancelling this plan
It continues, period after period, until you cancel in writing. A monthly plan needs 30 days' notice. The service runs to the end of the period you have already paid for.
Work already done
Once delivery has started, refunds are assessed against the work completed and the deliverables already handed over — the list under “what you get” above is what that assessment is made against. Approved refunds are processed within 14 days.
If we cannot deliver what is described here
You are refunded. The scope on this page is the scope we are held to, which is exactly why the exclusions above are stated before you buy rather than after.

The full terms, item type by item type, are in the Refund & Cancellation Policy — see subscriptions. How the work reaches you is covered by the Delivery & Fulfilment Policy.
