The four questions this page answers

  1. 1

    What you buy

A step that reads each inbound enquiry, summarises it, gives it a score against criteria you define, and routes it to the right person with a reason attached. A salesperson still decides what to do with it.

  2. 2

    What you get

5 deliverables, listed in full below

    • A written qualification criteria document you own
    • A live scoring and routing step across your enquiry sources
    • A back-test report on 100 historic enquiries
    + 2 more
  3. 3

    How it is delivered

    Remote Setup

Carried out remotely by our team. Nothing is posted and no one visits.

    REMOTE SERVICE

  4. 4

    How long it takes

3–4 weeks, plus a two-week parallel run before switching over

Measured from the point everything under “what we need from you” is with us, not from the moment you pay.

What is this, in plain English?

A step that reads each inbound enquiry, summarises it, gives it a score against criteria you define, and routes it to the right person with a reason attached. A salesperson still decides what to do with it.

Related to the existing lead management automation, but the judgement layer rather than the plumbing: this reads unstructured enquiry text and turns it into a summary, a category and a score. The score is advice to a human, never a decision, and every enquiry still reaches a person. Nothing is rejected, filtered out or discarded on the basis of a score.

The problem it solves

Enquiries arrive as free text from four different places, so the team works them in the order they landed and a serious buyer waits behind three price-shoppers.

If that does not describe you, this is probably the wrong product. Tell us and we will point you at a better fit rather than sell you the nearest one.

What you get

The concrete things that exist at the end and that you own.

What does it do?

Everything listed here is delivered as part of this product. Nothing on this list is aspirational.

  • Reads enquiries from up to three sources, such as web forms, a shared inbox and one ad platform
  • A two-line summary of every enquiry, written for a salesperson to skim
  • Score against your own written criteria, with the reasoning shown
  • Category and routing rules to the right person or team
  • Every enquiry reaches a human regardless of score, with none suppressed
  • Weekly report of volume, categories and score distribution
  • A monthly calibration check comparing scores against what the team actually converted

How it works

The delivery sequence from order to handover.

  1. 1

    Write the criteria down

We turn what your team means by a good lead into explicit written criteria, which is usually the hard part.

  2. 2

    Test on past enquiries

We score 100 historic enquiries and compare the result with what your team thought of them at the time.

  3. 3

    Build the routing

Sources are connected, categories and owners defined, and the summary format agreed.

  4. 4

    Run alongside the team

For two weeks scores are visible but the team works as usual, so you can see whether the scoring holds up.

  5. 5

    Switch on and calibrate

Routing goes live and we recalibrate monthly against actual outcomes for the first three months.

Full detail of how work is handed over, what happens if requirements are outstanding and how order records are kept is in the Delivery & Fulfilment Policy.

What we need from you

Nothing starts until these are in place, and the turnaround above is measured from that point — not from the moment you pay.

  • At least 100 historic enquiries with an indication of which were worth having
  • A sales lead who can define and sign off the criteria
  • Access to each enquiry source and to your CRM or destination
  • Named owners for each routing category
  • An AI provider account in your business name

Who this is for

  • Sales teams handling more enquiries than they can call the same day
  • Businesses with enquiries arriving from forms, email and social at once
  • Firms whose good leads are hidden among low-intent enquiries
  • Managers with no visibility of what is actually coming in

Business needs this addresses: Manage customers, Automate work

What's not included

Just as plainly as the list above: the things this package is not.

  • AI model and API usage per enquiry scored, billed to your own account by the provider
  • Any decision-making: the score is advice to a salesperson, and no enquiry is rejected, deprioritised out of sight or discarded automatically
  • Any guarantee of scoring quality, conversion rate, pipeline value or revenue
  • Use for credit, lending, insurance, employment, housing or any other decision subject to regulation, which we will not build
  • CRM, ad platform and form tool subscriptions, paid to those providers
  • Provider pricing changes, model deprecation or outages at the AI provider

Anything outside the scope above is quoted separately, in writing, before it is carried out. Nothing is added to your bill without your agreement.

FAQs

Does a low score mean the enquiry is ignored?

No, and we will not build it that way. Every enquiry is delivered to a person; the score changes the order and the routing, not whether it exists. Scoring models reflect the criteria they were given and the past they were tested on, so treating a low score as a rejection would quietly lose you business and would be impossible to defend if challenged.

How do you know the scores are any good?

We do not assume they are. The back-test on 100 historic enquiries shows you how the scoring compares with your own team’s judgement before you rely on it, and the monthly calibration compares scores against what actually converted. If the criteria turn out to be weak, the fix is to rewrite the criteria rather than to trust the number more.

What happens to the enquiry data?

Enquiry text is sent to your chosen AI provider to produce the summary and score, and the results are written back to your CRM or destination. We configure this against the provider terms you hold, with no-training options set where available, and we can strip nominated fields before anything is sent. You remain the data controller for enquirer personal data and should reflect this processing in your privacy notice.

What are the running costs?

The provider charges per enquiry scored, on your own account, and at typical enquiry volumes this is small. We give a monthly estimate from your historic volume during the criteria workshop. Provider prices and model availability change on their timetable, not ours, so the estimate is not a fixed rate.

Refund & cancellation

What happens if you change your mind, and what happens to money already paid.

Cooling-off before work starts
You have 7 days after ordering to cancel while work has not yet begun. Up to 25% may be retained to cover scoping and scheduling already carried out.
Work already done
Once delivery has started, refunds are assessed against the work completed and the deliverables already handed over — the list under “what you get” above is what that assessment is made against. Approved refunds are processed within 14 days.
If we cannot deliver what is described here
You are refunded. The scope on this page is the scope we are held to, which is exactly why the exclusions above are stated before you buy rather than after.

The full terms, item type by item type, are in the Refund & Cancellation Policy. How the work reaches you is covered by the Delivery & Fulfilment Policy.
